Credits, drop-ins, and cancel fees

How class credits are granted and spent, and when late-cancel or no-show fees charge the student.

Who can do this: Studio managers set policy and can grant goodwill credits. Front desk can sell and see client membership. Instructors cannot comp credits.

Credits

Purchases grant classes on an append-only ledger after Stripe marks the invoice paid (or a paid subscription Checkout session that includes that invoice id — the same grant key, so both events cannot double-grant).

  • Booking a group class reserves one group credit; check-in consumes it; an in-window cancel releases it.
  • Private appointments use a separate private pack or single private credit.
  • Desk can grant a Private pack or Single private on the client Membership tab (same form as goodwill) without the student logging in.

Drop-ins

Drop-in Checkout is for someone with no usable entitlement. After that class is used they show Previously drop-in on Memberships.

Cancel fees

Late-cancel and no-show amounts live under Settings → Memberships → Policy (late_cancel_cents / no-show). Blank late-cancel uses half of drop-in. Fees charge the studio Stripe key. Promo codes do not apply to late-cancel or no-show fees.

Studio Cancel class (the whole session) does not take a late-cancel fee.

Gotchas

  • Guest late cancel or no-show follows the studio’s fee for that member.
  • Free classes do not spend a credit even if the student has one.
